Creating and sharing your own templates

How, as an admin, you create your own prompt templates, activate them and share them with your team – with attachments like Excel or Word, usable in One-on-One and Automations.

What are templates?

Templates (prompt templates) are prepared assignments you reuse for recurring needs – for example a regular CEO report with key figures on cash flow, costs and revenue. Instead of rephrasing the assignment every time, you simply pick the matching template.

There are two kinds: standard templates that Arcarius provides, and your own templates that your organisation creates.

Who can create their own templates?

Your own templates are managed by whoever is an admin of a company (organisation admin). All other members use the templates but don’t create them. More on this: Rights, users and companies.

Creating your own template – step by step

  1. As an admin, open Prompt templates and click New template.
  2. Give it a title and – optionally – a short description (only visible internally in the overview) and a category (groups the template in the picker later).
  3. Write the final prompt: exactly the text that will be inserted into the assignment unchanged. Keep it clear and focused on the desired result.
  4. Save the template and switch it live via Activate.

Only once a template is active is it automatically available to all members of the companies you administer – so everyone works with the same, aligned templates. While it’s still a draft, no one else sees it.

Attachments (e.g. an Excel or Word template)

You can attach files to a template – for example an Excel or Word template that Arcarius fills in each time it’s used. Supported: PDF, Word, Excel/CSV and images (max. 7 files, 50 MB each).

How to use the templates

  • In One-on-One, active templates appear in the picker under your organisation’s own, admin-prepared templates – grouped by category. Pick a template, adjust if needed, send.
  • In the Automations module, templates are also available when you create a new Automation – ideal for running a recurring analysis on a fixed schedule.

Tips

  • Especially useful for recurring analyses such as a CEO or management report (e.g. cash flow, costs, revenue).
  • Write the template so it works for everyone who uses it – clear, specific, results-oriented.
  • Only need it on demand? One-on-One is enough. For a fixed schedule, combine the template with an Automation.
