Manage members & assignments
Invite members to your organization, grant roles, and assign members to individual companies.

In Arcarius you work inside an organization. It is the bracket around all your companies (mandates), your team members, and your credits. Your organization is created automatically as soon as you add your first company – there is nothing to set up.
If your user account belongs to multiple organizations, you can use the organization switcher to move between their separate workspaces. Companies, memberships, permissions, settings, and credits remain associated with the relevant organization. Read more: Switch between organizations.
Roles exist at two levels – like building blocks:
Important: Owners and administrators automatically have access to all companies in the organization – regardless of assignments. For everyone else, the assignment decides which companies they see.
The roles build on one another: each role can do everything the one above it can – plus what is listed.
| Role | What it adds |
|---|---|
| Member | Works in the assigned companies – with the full feature set there. |
| Cost viewer | Like member, plus the credit reporting of the assigned companies. |
| Onboarding admin | Create new companies and assign members to companies. |
| Billing admin | Buy credits and manage the payment method and limits. |
| Administrator | Manage members and roles, organization settings, access to all companies. |
| Owner | Full control over the organization, including granting roles and managing central settings. |
The primary owner is the person who created the organization. This role is fixed and cannot be granted.
Within a company there are two roles. By default, both work with full mandate permissions – the distinction is about responsibility for the mandate.
| Role | Meaning |
|---|---|
| Mandate lead | Holds responsibility for the mandate; always keeps full access. |
| Staff | Works on the mandate. |
Who is assigned to which company is managed under Assignments (see Manage members & assignments). What staff may do can be fine-tuned by an organization admin under Collaboration & permissions.
You can also give people outside your organization access to individual companies – your customer (client) or an auditor. They do not become members of your organization and only see the companies assigned to them, with restricted rights. Details: Invite externals: clients & auditors.
Everything about your organization lives under Settings → Organization:
Your credits apply to all members and all companies in your organization. Only billing admins can top up and manage payments; they also see purchases and balance. Members with cost viewer see the credit reporting of their assigned companies. More on this: Credits: find, top up, and track usage.
We limit neither the number of members nor the number of companies per organization – there are no fees per user or company. Credits pay for variable usage. Advanced organization capabilities such as Memory, Instructions, Projects, Integrations, Skills, and organization-wide Scheduled tasks additionally require Arcarius Plus as an organization subscription. See Pricing for current amounts.
Currently Arcarius supports sole proprietorships, partnerships, and corporations that prepare their financial statements in CHF in accordance with the Swiss Code of Obligations.
