Topping up credits and viewing your balance

As a billing admin, you can view the current balance and top up credits under “Credits” – either pay-as-you-go (a one-time amount of your choice) or via Auto-Reload (tops up automatically once your balance falls below a threshold). Your credits apply to all your users and all your companies.

During onboarding, you purchase your first credit package. There is no separate onboarding fee: the credits you purchase are added to your regular balance in full and can be used afterwards.

Tracking usage

Under “Credit Reporting” you can see at any time what your credits were used for. Purchases and balance are only visible to billing admins; members with cost viewer see the credit reporting of their assigned companies.

Monthly credit reports

As an organization owner or organization admin, you can enable automatic monthly reports under Settings → Organization → Billing → Credit Reporting. This requires permission to manage both billing and organization settings; the billing admin role alone is not sufficient. On the second day of each month, Arcarius creates an Excel file for the previous month – but only if credits were used during that month.

You decide:

  • whether missing reports for earlier completed months should be generated,
  • which language to use for the Excel file and email,
  • whether selected eligible members receive an email once the report is ready.

Completed monthly reports remain available under Downloads. You can see the month, credits used, number of requests, creation date, and status.

What if I don’t have enough credits?

If your balance isn’t enough for a request, you’re notified in advance.
