Collaboration & permissions: what staff can do

Control how work is shared inside each company and which tasks staff can handle themselves.

By default, staff work in their assigned companies with full mandate permissions. Under Collaboration & permissions you can fine-tune this – once per organization, for all companies. Mandate leads and organization admins always keep full access.

Who can do this? Every internal member can view it; only organization admins (and owners) can change it. You find the settings under Settings → Organization → Collaboration & permissions.

What staff may edit

You can enable or block these topics for staff. Master data is enabled by default.

Topic Scope
Master data Name, legal form, UID, address, company purpose, and logo.
Accounting data Fiscal year, accounting standard, reporting language, VAT method, and technical provider details. API keys and payroll stay separately protected.
Account mapping Map accounts to the Arcarius chart of accounts and mark the mapping as reviewed.
VAT Maintain VAT accounts and VAT mappings.

Day-to-day actions

These actions are enabled by default so existing workflows keep working. Disable only what should require mandate lead approval:

  • Manage automations – create, edit, run, pause, or delete company-wide automations.
  • Post bookings – post, reverse, or reopen prepared bookings from chat, Rebooking, and agent workflows.
  • Approve/reset the closing – in the Closing Agent.
  • Finalize/reset Reporting.

Closing Agent

Choose up to which phase staff may edit a Closing Agent run themselves (from “Phase 1 only” to “All phases”). After that, the run becomes read-only for them. Mandate leads and organization admins continue to edit all phases.

Share One-on-One chats

Choose whether internal One-on-One chat history is shared within each company for all internal members – including chats started by an automation or workflow. External access (client/auditor) never includes these internal chats.
