Closing Agent: overview and scope

How the Closing Agent guides you through your close – phase by phase, area by area, always with your approval.

The Closing Agent guides you step by step through your close – from monthly to annual. It reads your accounting from bexio (or Run My Accounts), checks it area by area against your receipts, and prepares the necessary entries. You review, approve – and in the end you get your finished closing file. What can otherwise take days becomes a guided process.

The Closing Agent is new and continuously being improved – your feedback is very welcome.

What the Closing Agent does for you

  • It reconciles your balances with the receipts (for example bank accounts with bank statements) and shows you where everything matches and where there are differences.
  • It runs plausibility checks and spots where something is missing or doesn’t add up.
  • It prepares correction entries that you approve with a click.
  • It explains every step in plain language – you don’t need to be a closing expert to understand what is happening and why.

Important: the Closing Agent works for you, not instead of you. No entry lands in bexio without your approval, and no area or topic counts as done until you have approved it.

The phases of your close

The close runs through consecutive phases:

  1. Preparation – Arcarius takes each area one at a time: you upload the matching receipts or confirm a balance, Arcarius reconciles, checks, and – where needed – prepares initial correction entries. Goal: by the end, all accounts are reconciled and cleanly prepared.
  2. Execution – now the actual closing entries are created: for example foreign-currency valuations, accruals, interest, value adjustments, or depreciation.
  3. Post-processing – room for what comes after the closing meeting: you capture open topics, Arcarius works through them, and finally the final tax provision is calculated.
  4. Equity close – Arcarius goes through equity with you, proposes the statutory allocation to reserves, and works out the appropriation of earnings (dividend, reserves, or carry-forward) together with you.
  5. Documentation – finally, Arcarius assembles your closing file (balance sheet, income statement, notes, and reconciliation file). You download the documents and deliver the close.

Areas instead of long account lists

To keep the close clear, Arcarius splits your accounts into areas (for example “cash and cash equivalents”, “trade receivables”, “property, plant and equipment”). Each area has its own chat, where you upload the matching receipts and Arcarius checks specifically. Areas that aren’t relevant to your company you can simply exclude.

The areas at a glance:

  • Assets: cash and cash equivalents · short-term assets with a market price (securities) · trade receivables · interest-bearing and other receivables · inventories and unbilled services · financial assets · participations · property, plant and equipment and intangibles
  • Liabilities: trade payables · interest-bearing and other payables · provisions
  • Equity: share/nominal capital · capital reserves · retained earnings and profit carried forward · equity for sole proprietorships
  • Cross-cutting topics: receivables from and payables to public authorities (for example VAT) · pension funds and social insurance · prepaid and accrued items · tax provision
  • Income statement

You stay in control

  • No entry without your approval: Arcarius only prepares entries. They are transferred to bexio only once you approve them.
  • You approve areas and topics: Arcarius never sets them to “done” itself, only to “to review”. You mark them as done. In Preparation and Execution, every area must be done; in Post-processing, every topic and the final tax provision must be complete.
  • Approvals are protected: marking areas or topics as done and completing phases is reserved for people with the corresponding permission – more on this in Permissions, approvals and handoff.

Before you start

Once, you review and confirm the Closing Agent configuration (thresholds, accounts, booking texts, and more) – only then can you start your first close. Details in Settings and FAQ.
