Closing Agent: permissions, approvals and handoff

Who approves entries, marks areas and topics as done, and completes phases – and how the handoff to the engagement lead works.

The Closing Agent prepares – decisions and approvals come from you and your team. These permissions control who can grant which approval.

Nothing takes effect without approval

  • Entries are transferred to bexio (or Run My Accounts) only after your approval.
  • Areas and topics are only set to “to review” by Arcarius – only you mark them as done.
  • Phases can only be completed once their required work is done: areas in Preparation and Execution, topics and the final tax provision in Post-processing, and the respective phase result in the later steps.

Who can complete areas, topics and phases?

  • Anyone who can manage settings (the settings.manage permission – typically owners, administrators, and the engagement lead) can edit and complete all phases.
  • Staff work up to a defined maximum phase. Up to there, they mark areas or topics as done, review phase results, and complete phases.

Handoff to the engagement lead

If the current phase is above the maximum set for staff, the run remains visible to them but becomes read-only. Engagement leads and organization admins can continue working on it.

An explicit handoff is shown when moving from Post-processing to the Equity close: if a staff member is not allowed to edit the Equity close, they see “Ready to hand off to the engagement lead”. Their approval is saved, and an authorized person performs the phase transition.
