Work with Projects

Bring chats, files, Memory, and scheduled tasks together for one shared matter.

Use a Project to keep everything related to one matter together, such as an annual close, an audit, or a special client request. Relevant documents and context are then available across the Project’s chats.

Requirement: Projects are part of Arcarius Plus and are available only to internal employees.

A Project can contain chats, files, Project Memory, and project-specific scheduled tasks.

Create a Project

  1. Open Projects.
  2. Select New Project.
  3. Enter a name and, optionally, a description.
  4. Create the Project.

You can then start a new chat, upload files, or add a scheduled task directly within the Project.

Add a chat

You can:

  • start a new chat directly within the Project; or
  • assign an existing One-on-One chat to an active Project.

The chat is retained if you later move it to another Project or remove its Project assignment.

Important: Assigning a previously unshared chat to a Project makes it visible to internal employees of the company. Chats created by scheduled tasks or guided workflows cannot be added later as Project chats.

Add files as Project Knowledge

  1. Open the Project and select Files.
  2. Upload the relevant working documents.
  3. Wait for processing to finish.

Arcarius can then use the relevant content in that Project’s chats. You can download or remove files later. Removed files are no longer used for new Project requests.

Use Project Memory

Project Memory contains helpful context that applies only to that Project. Relevant Company Memory continues to apply as well. New project-specific entries do not change Company Memory.

Memory is not a complete history of every Project chat. It contains selected context that may help with future work.

Add a scheduled task

You can assign a scheduled task to an active Project. New runs then use that Project’s Knowledge and Memory. Previous runs retain the context with which they were originally created.

Organization-wide scheduled tasks cannot be assigned to an individual company Project.

Who can see the Project?

Projects always belong to one company. Internal employees of that company can see the Project, its chats, and its Project Memory. Clients and auditors do not gain access.

Archive a Project

Archiving is useful for a completed or temporarily inactive Project. When you archive:

  • its chats, files, and Memory are retained;
  • no new chats or changes can be added;
  • active project scheduled tasks are paused;
  • pending proposals for project scheduled tasks expire.

Important: Restoring the Project does not restart paused scheduled tasks automatically. Review each one and activate only the tasks that should run again.

Permanently delete a Project

A Project must be archived first. Before you can permanently delete it:

  • no open or paused scheduled tasks may remain assigned to it; and
  • no related runs may be queued, active, or waiting for required input.

Delete or move the relevant scheduled tasks first. Permanent deletion removes Project Memory and Project Knowledge. Chats are retained and reappear in the normal chat view without a Project assignment.
